Collaborative intelligence
tailored & built to last

TEQMINDS builds a modular platform that we configure to each customer’s processes: it connects your existing systems, automates recurring tasks and provides an AI assistant whose interface adapts to the task at hand – without replacing everything you already run.

What we do

Your tools. Our intelligence. Better processes.

We do not roll out yet another piece of software – we make the software you already have smarter. The basis is a modular platform: together we pick the building blocks that match your processes, and we set them up around them.

Connect instead of replace

Your existing systems and specialist software stay in place. We connect them through our modular platform – no rip and replace, no new software rollout.

Collaborative intelligence

AI classifies, prioritises and prepares – your team decides and acts. No black box, but transparent collaboration between people and technology.

Automate instead of adding headcount

Recurring tasks run automatically – from intake processing to job dispatch, configurable without programming. More impact with the same team size, less routine work.

Architecture built to last

Modular architectures that grow with your company – instead of monoliths that are hard to move away from.

Software as a Service

We build and operate the platform – you use it in your configuration. No installation, low maintenance effort. The data model is aligned with GDPR requirements.

Advice on equal terms

Every company is different. We analyse your processes, identify automation potential and support you from strategy through to day-to-day operation.

The platform

One core, modules as needed

TEQMINDS is neither off-the-shelf software nor a project that starts from zero. A shared platform core carries every customer solution – on top of it we activate and configure exactly the modules that match your processes.

Platform core

Included in every configuration

Users & roles Permissions & approvals Audit logging Interface management Configuration without programming Operation & updates
Modules activated as needed
Module

Integrations & connectors

Connecting your specialist software, mailboxes, portals and data sources – so information arrives where it is needed.

Module

Intake & documents

Incoming emails, forms and receipts are captured, read out and structured – as the groundwork for every further step.

Module

Workflows & automation

Processes are configured rather than coded: rules, responsibilities, escalations and approval steps can all be adjusted.

Module

AI assistance

Classifying, prioritising, summarising and preparing suggestions – with reasoning, so your team keeps the decision.

Module

Adaptive interface

Controls are generated for the task: forms, lists, comparisons and approvals instead of a bare chat input.

Module

Knowledge & reference sources

Internal policies, contracts and manuals become findable. External reference sources can be added through interfaces.

Module

Reporting & traceability

Workload, processing status and history become visible. Every automated step stays logged.

Module

Notifications & channels

Alerts, reminders and status updates run through the channels your team and your customers already use.

Scope comes out of the analysis

Which modules make sense follows from your processes – not from a fixed package.

Configuration before custom development

Rules, fields, roles and processes are set up. Individual extensions remain possible, but they are not the starting point.

Extendable later on

You start with a manageable scope. Further modules can be added as your needs change.

Experience & interface

AI assistance you can actually operate

A chat window is rarely the best interface for a specialist task. That is why we put particular emphasis on user experience: our assistant dynamically generates the controls that fit the task at hand – instead of answering everything in a text box.

Illustrative example
Plain chat window

You

“Please take a look at the new damage report and do something sensible with it.”

Assistant

A long paragraph of prose in which assessment, follow-up questions and suggested actions are all mixed together …

  • Every detail has to be phrased as a sentence
  • Hard to verify, sources unclear
  • The next step stays manual work
Generatively created interface

Case

Water damage · Property 14, flat 3

Priority: critical
Plumbing
Suggestion 1 of 3
Basis: report in the tenant portal · plumbing framework agreement · classification with reasoning
Assign job Adjust Ask the tenant
  • Input happens in the control that fits
  • The basis for the classification is visible right there
  • Approval and next step in one click

Illustration of the interaction concept; the actual interface depends on the respective configuration.

Controls instead of prose

Whatever the task needs is generated for it: a form with pre-filled fields, a table for reconciliation, a comparison, a map, an approval dialogue.

Role- and context-aware

Accounting, property management and leadership see the same platform in the view that belongs to their task – not the same empty input line.

Decide with a click

Suggestions arrive ready to use: review, adjust, confirm. Nobody has to learn how to prompt an AI “correctly”.

Traceable on the spot

Where a piece of information comes from and how confident the classification is appears where the decision is made – not in a separate log.

In the design we pay attention to readability, keyboard operation and mobile usability – so the assistant is actually used in everyday work rather than merely looking impressive.

Why TEQMINDS

Solutions that last

For us, sustainable means long-lived, efficient and built on what already works – instead of throwing things away and buying new ones.

How a project with us runs

1

Analysis

Which systems do you use today? Where do media breaks, duplicated work or manual routines occur? We map your processes.

2

Connection

Your existing tools are connected through one central platform. Data flows automatically between systems – without copy and paste.

3

Automation

Recurring tasks are taken over by workflows and AI. Classification, routing, notifications – automatically.

4

Ongoing operation

We look after the platform, add new integrations and adapt workflows when your requirements change.

What changes for you

Copy and paste between tools
Automatic data flow
Sorting incoming items by hand
AI classifies & routes

Use cases from practice

Our approach, applied in practice

Where our approach takes hold – and where the principle carries over to other industries.

Example: real estate management

Our approach in property management – connect, automate, work more intelligently.

Property managers work daily with tenant portals, email inboxes, damage management and accounting – usually with no connection between them. Our platform links these systems and lets AI take over the routine work.

Existing systems stay

Mailboxes, tenant portal, damage management, document management and CRM – everything is connected, nothing replaced.

AI classifies, people decide

Incoming requests are analysed and prioritised automatically – your team gives the go-ahead.

Automated workflows

From the damage report to assigning a contractor – configurable, not hard-coded.

Illustrative example

Incoming damage report

"Water damage in the bathroom – water is dripping from the ceiling."

AI analysis

Priority: critical Trade: plumbing
Contractor assigned · tenant informed · within seconds

Values and sequences are for illustration only; actual processing times may differ.

Transferable to other industries

Wherever fragmented systems and manual processes meet, our principle applies: connect, automate, work more intelligently.

Trades & facility management

Jobs from various portals, manual scheduling, feedback by phone – all of it can be connected.

Tax advice & accounting

Receipts from dozens of sources, manual allocation, client communication across five channels – all automatable.

Healthcare & care

Documentation in separate systems, manual shift planning, fragmented communication with relatives.

Logistics & mid-sized business

ERP, shipping, customer service – all islands. Status checks by hand, processes not connected.

Second product by TEQMINDS

Specialist literature, ready to connect

Alongside the platform we are building Shelfwire: a way to make specialist literature usable inside AI applications – according to the provider, citable down to the paragraph number and priced by the publisher.

“Reference books that can answer” – without training on the works and without copying them, but through cited retrieval. Publishers keep control over pricing, operators connect the catalogue via MCP server or REST API, and teams use a chat access.

For our platform this is more than a side project: wherever an AI assistant needs to draw on vetted reference sources, Shelfwire can be connected as a knowledge source through its interfaces – matching the “Knowledge & reference sources” module.

For publishers

Make works AI-ready without giving up control: pricing authority on every retrieval, individually itemised retrievals, monthly payout.

For operators of AI applications

Connection via MCP server or REST API, billing per retrieval, audit log – sourced answers instead of guesswork.

For teams

Chat access without a mandatory subscription – you use and pay for what you actually query.

Shelfwire is a separate offering at shelfwire.de. Scope of service, catalogue content and terms are governed solely by the information published there.

An end to data silos.

In a short conversation we work out where automation gives you the most leverage – and what can be achieved with the tools you already have.
